POSITION: Human Resources Generalist

Job Description:
This position oversees the day-to-day management of HR operations, administering office policies and procedures, maintain employee benefits, recruitment, legal compliance and own the full employee life cycle.
Role and Responsibilities:
- General:
o Manage day to day operations of the HR department
o Company announcement emails
o Promote an open doors philosophy between employee’s and management
o Maintain clear communication on policies while resolving issues immediately as they arise
o Work with employees to resolve work related/employee issues. Document and take the right steps to make sure these issues are taken care of and the employee morale stays upbeat
o Provide support to employees in various HR related topics such as leaves of absence, compensation, etc.
o Implement and monitor annual performance review process
o Maintains the work structure by updating job requirements and job descriptions for all positions
- Recruiting:
o Manage all recruiting agency contracts
o Works with outside recruitment firms to source candidates
o Maintains a resume database by position
o Post job openings on Indeed and Craigslist. Work with recruiting agencies for harder to find candidates, such as NP’s, MD’s
o Schedule and conduct phone interviews for potential new hires
o Coordinate with Managers on final interviews and selection process
o Maintain and update weekly spreadsheet with status of open positions
o Work with MP schools regarding internships. Samuel Merritt
- Onboarding:
o Create and update Elite New Hire Packets on an annual basis
o Write offer letters, Send out employee packets
o Conduct background checks and set up drug test
o Onboard Employee:
- Verify I-9, set up in Heartland and InfiniTime (if necessary).
- Get with IT on computer/email set up. Nextech access and videos/Desk placement. Office Keys and work phone
- Order name tags/Business cards/Parking Passes/White Lab Coats (get Elite Embroidery) when appropriate
o Administer benefits – Medical, Dental, Vision. Enroll new employees onto elected plans. Make sure correct deductions are entered into Heartland.
o Onboard doctors for hospital privileges/credentials
o Work with The Doctor’s Company to set up new Doctor’s on the Elite MD malpractice insurance
- Off boarding:
o Work with payroll and Heartland to make sure final paychecks are paid in the appropriate timeframe allocated by State law
o Conducts exit interviews and completes final documentation for all departing employees
o Write and deliver/send termination letter if employee is fired
o Administer COBRA, through Sterling Administration
o Collect any Elite MD computers/keys/parking passes, etc from terminated employee
- Benefits:
o Administer benefits – Medical, dental, vision, life, voluntary life and COBRA
o Work with benefit broker to evaluate most cost effective benefit plans during open enrollment and maintain those plans throughout the year
o Enroll new hires onto their selected benefits
o Administer 401K plan, notify and enroll eligible employees. Handle plan withdrawals and loan distributions
o Keep track of annual vacation accruals, updating Heartland system with new rates
- Legal Compliance/Policy & Procedures:
o Update Elite Employee Handbook on an annual and semi-annual basis. Updates coincide with new federal and state laws
o Keep HIPPA training up to date for each employee (every 2 years)
o Maintain Employee Files, Perform I-9 audit
o Update Federal and State posters on an annual basis (New Year)
o Enroll and ensure completion for CA Harassment Training (new law for smaller organizations effective 1/1/2019)

EDUCATION AND EXPERIENCE:
- Bachelor’s degree or equivalent work experience
- 3-5 years’ experience in an HR Generalist role
- Experience working independently while contributing within a team environment
